Daily resort fee of $20.00 per room/per day will be added (includes unlimited local calls, unlimited 800 calls, daily access to high-speed internet service in guestroom, daily access to fitness center, daily newspaper, two bottles of Mizner water – daily, nightly turndown service, key lime coolers at check-in, resort transportation, shopping shuttle, and bellman gratuities) plus state and local taxes currently 11.5%.

Please note: It is recommended that you make your hotel accommodations early to ascertain availability, room rate, and type of room. MSCI cannot guarantee availability nor the room rate after Monday, September 28 or when the MSCI room block is filled – whichever occurs first.
All reservation requests must be accompanied by a first night room deposit, or guaranteed with one of the following major credit cards; American Express, Diners Club, Carte Blanche, Visa, MasterCard, or Discover Card. Deposits will be refundable only if the reservation is canceled at least 72 hours prior to arrival time.
Hotel check-in time is 4:00 pm and check-out time is 11:00 am. While the hotel will attempt to accommodate early check-in and late departures, it cannot be guaranteed depending upon hotel occupancy rates. Should early check in or late departure be necessary, it is recommended that you reserve the room for the additional evening to ascertain its availability.
Attire
During the day, business/resort casual sportswear is appropriate attire for our business sessions. This includes khaki slacks, polo-style shirts, or sweaters for the gentlemen; slacks, skirts, polo-style shirts, blouses, sundresses or sweaters for the ladies. Remember meeting room temperatures and personal comfort zones vary widely. It is recommended that you bring a sweater or jacket to the sessions.
Evening attire varies depending upon the function. The Sunday Welcome Party will be held at the Boca Raton Resort Beach Club and is beachside. It calls for casual and comfortable clothing. Jackets are not required for the gentlemen. Sweaters and slacks are appropriate for the men and the ladies.
Tuesday evening’s dinner dance is black tie optional in celebration of MSCI’s Centennial Commemoration; suits and ties are preferred for the gentlemen, evening dresses or ensembles are appropriate for the ladies. Should you wish to rent a tuxedo, please contact Ted Berry at Ted Barry Tuxedos at (954) 426-0025 to make arrangements.
While planning your wardrobe, please remember that Boca’s average high and low temperatures in late-October and early November are 870 and 710.
Transportation Information
The Boca Resort and Club is easily accessible via air transportation: 28 miles south of Palm Beach Airport, 24 miles north of Fort Lauderdale International Airport (minimum 30 minutes), 45 miles north of Miami International Airport (minimum 60 minutes).
Boca Raton Transportation, Inc. will arrange private pick-up in a Sedan-Town Car for a minimum fare of $96.60 from Fort Lauderdale or Palm Beach Airports. Advance reservations are required. Please contact Boca Transportation at 561-750-7800 to make reservations or online from the MSCI APD Conference website or www.bocatrans.com. Charges can be charged to your Boca Resort room folio or a major credit card. Approximate taxi cab fares are $75.00 from the West Palm Beach Airport and $80.00 from the Fort Lauderdale International Airport.
Avis Rent-a-Car is also offering reduced rates for all MSCI meetings. Reservations may be made by calling Avis at 1-800-331-1600 and refer to AWD# B766631.
Valet parking only at $25.00 per day.
Program and Attendance Lists
Registration must be received by the MSCI Member Services Department no later than 5:00 pm, Wednesday, October 11 in order to be listed in the conference final program. Advance attendance lists are available on the MSCI web site updated regularly. The program, which includes the attendance list, will be provided to all attendees at the meeting.
Conference and Tours Cancellation Policy
A full refund will be issued for cancellations received in writing by MSCI by 5:00 pm Friday, October 2, cancellations received in writing by MSCI by 5:00 pm before Friday, October 16 will receive a refund of 50% of all fees paid. No shows and cancellations received after that time will not be eligible for refunds. Substitutions may be made at any time. Written cancellations or substitutions will be accepted by the MSCI Member Services Department by fax, express delivery, mail or e-mail.
Tour Registration Deadline: The registration deadline is Friday, October 2, 2009. Please register as early as possible as tours that do not meet minimum attendance requirements will be cancelled. After this date, tour registrations will be taken on a space-available basis only. All tours use air-conditioned, deluxe touring vehicles. If handicapped/physical assistance is needed, please call MSCI to guarantee that services are noted.
Cancellations: Because guarantees are based on advance ticket sales, no refunds or exchanges will be made after Friday, October 2, 2009. MSCI reserves the right to cancel tours and refund the ticket price if the minimum number of tickets in not sold.
Entertainment Policy
Entertainment and/or company meetings should never be scheduled at the same time as official MSCI business or a social event. This includes breakfast sessions, business sessions, and evening group functions. MSCI recommends that company entertainment be planned prior to the opening or following the conclusion of the Annual Meeting. Those companies wishing to plan any entertainment are asked to advise MSCI. Staff can recommend local companies to assist your planning.
Press and Sponsorship Policies
No MSCI policy is intended to prevent accredited members of the press from attending MSCI events. Each press outlet will receive one complimentary ‘press’ registration to MSCI meetings or conferences.
Any attribution from a formal presentation or informal conversation outside of a formal conference session requires the permission of any speaker before their comments or information from their presentation may be printed or distributed. Recording of programs, materials and/or presentations (e.g audiotaping and/or videotaping) is prohibited without express, written, and advance approval from MSCI and the speaker. MSCI has the right to deny attendance to individuals or publications not abiding by this policy.
Only event sponsors may distribute products or promotional materials at MSCI venues. Please contact Kate Johnson at 847/485-3006 if you are interested in becoming a sponsor.
Dinner Seating Arrangements
Seating arrangements for Monday and Tuesday evenings are by Associate Member invitation only. If you have not received, or choose to decline, an Associate member invitation, MSCI would be honored to have you and your guest seated at an Institute table.
